What happens when you cancel

Four scenarios. Each with its own mechanics.

Customers cancel for different reasons and at different times. Each scenario has explicit timing, refund treatment, and data treatment. No "exceptional circumstances" clauses.

SC.A

Within 14 days of any ongoing paid signup

The full refund window. Cancel within 14 days of any ongoing paid signup — the Household Continuity Dossier or Estate Standard Seal — and you get a full refund of everything you paid.

What happens
Cancellation processes immediately. The team processes your refund to the same payment method you paid with. Records enter the 90-day grace period — export to PDF or delete entirely, your choice.
What you keep
Any documents prepared so far remain yours forever (PDFs).
Note
No exit fee. No "but you used the system" deduction. No partial-month deduction. Full refund means full refund.

Mid-term cancellation, after 14 days

After the 14-day full-refund window, Household Continuity Dossier / Estate Standard Seal cancellations are mid-term. Cancel in Settings — you confirm in the secure billing portal — and access continues until your current term ends.

What happens
No pro-rata refund. Your current term continues until the year-end you paid for. You keep full access until then. After term-end, records enter the 90-day grace.
What you keep
All documents prepared during the term remain yours.
Note
Why no pro-rata: the annual fee covers the ongoing review, refreshed checks, governance letter, and storage for the full year — most upfront. Cleaner approach: full refund within 14 days; no pro-rata after.

At renewal — every plan renews automatically

The Household Continuity Dossier and Estate Standard Seal renew automatically each year unless you cancel first. If you're still subscribed when the renewal date arrives, here's what happens.

What happens
A renewal reminder email arrives 14 days before the charge. The charge processes on the renewal date, opening a new 14-day cooling-off (DMCCA Article 14 mandate for 12-month auto-renewals). Within 14 days of the renewal charge: full refund of the renewal if requested. Account continues into the new term.
What you keep
Same as any other scenario — your prepared documents stay yours.
Note
One reminder, 14 days out — enough notice to cancel before you're charged.

If you cancel before your renewal date

Cancel any time in Settings and the subscription simply won't renew — no separate opt-out step.

What happens
Cancel in Settings and confirm in the secure billing portal. You keep full access until the term you've already paid for ends, with no renewal charge to follow. Records then enter the 90-day grace period.
What you keep
If you change your mind, you can re-subscribe at the same tier (or upgrade) at any time within the 90-day grace, and your records are restored exactly as they were.
Note
Quiet end. No urgency. No retention pressure.
Your data, when you cancel

Three options. Your choice.

I

Export everything, then we delete

One click in Settings: "Export everything." You receive a complete archive — every record as spreadsheet and structured data, every prepared document as a PDF, and everything you uploaded — with a receipt naming anything that could not be included. You delete the Valoren account. We retain only the legal minimum (anonymised payment records for HMRC tax compliance, 6 years per Companies Act). Records and personal data are deleted within 30 days of your cancellation request.

Keep access for 90 days, then deletion happens automatically

Default. Records remain in read-only mode for 90 days post-cancellation. Log in any time, view records, export specific items. After 90 days, automatic deletion processes — and you can trigger earlier deletion at any point.

Delete immediately

Skip the grace period. Cancellation triggers immediate deletion of all personal data within 30 days, with no PDF export. Customers choose this option when speed of erasure matters more than retaining a copy — typically for privacy-driven cancellations.

  • ·Your records (will references, LPA references, Trusted Persons designations, executor designations, asset records, beneficiary records, life event records)

What's retained — legal minimum
  • ·Anonymised payment records (HMRC + Companies Act 6-year retention)
  • ·Audit log records of cancellation (DMCCA evidence — 7 years, anonymised)
  • ·Customer-support correspondence (anonymised, 3-year retention for Consumer Duty evidence)

Right to erasure (GDPR Article 17) — yours, anytime. If you want full erasure including the legal-minimum-retained data, submit a Data Subject Access Request and Right to Erasure request. We'll evaluate against legal retention obligations and erase whatever isn't legally mandated to retain. Standard turnaround: 28 days.

Open Settings (the settings icon in your portal header). Scroll to "Subscription." Click "Manage or Cancel Subscription."

A panel appears showing what your account holds, lower-priced hold options if you'd rather pause than close, a "Keep my account active" button — and "Export & close", the exit. Nothing on the panel blocks the exit.

The panel never blocks the exit, and nobody follows up to talk you out of it.
Within 90 days of cancellation, you can re-subscribe at the same tier (or upgrade), and your records are restored exactly as they were. Your prepared documents during the cancelled period remain accessible. After 90 days, the records are deleted; you'd start fresh, though any prepared documents you exported to PDF remain yours.

They remain yours. Cancellation doesn't revoke anything. Future maintenance ends with cancellation, but everything produced during your subscription — records, prepared PDFs, anything you've printed — stays with you.
Yes. Until the renewal date, the system continues its checks, preparing documents, sending pre-renewal reminders, and otherwise behaving normally. Cancellation stops the subscription auto-renewing at the next renewal date; access continues to the term-end date.
Once cancelled and past the 90-day grace, records are deleted. Trusted Persons access is part of the active subscription — without an active subscription, there's no Trusted Persons system to activate.

If you want continuity, you'd need to maintain at least the Household Continuity Dossier. PDF prepared documents you've already produced remain accessible (they live on whatever device or storage you've put them on, not Valoren's servers).
Every renewal. If you renewed your Household Continuity Dossier and within 14 days realise it's no longer right, the renewal charge is refunded (DMCCA Article 14 cooling-off mandate for 12-month auto-renewals). The 14-day full-refund window applies to first signup; the 14-day renewal cooling-off applies to every subsequent renewal.
No. Free Form Help is genuinely free, with no signup required. Cancelling a paid plan (the Household Continuity Dossier or Estate Standard Seal) doesn't affect your ability to use Free Form Help — that remains free for any visitor, paid or not.
The regulatory context

Where the policy meets the law.

The UK's Digital Markets, Competition and Consumers Act 2024 (DMCCA) — enforceable from April 2026 — sets minimum standards for subscription products: pre-contract information, advance renewal reminders, easy cancellation (as easy as signup), 14-day cooling-off on every 12-month auto-renewal, and protection against subscription traps.

Valoren commits beyond the DMCCA minimum.
